It really does sound like you want a data base. I would sugguest that you look into FileMaker Pro.
I haven't worked with Access very much, but it does have the reputation of being somewhat difficult to work with. FileMaker also runs on both Mac and PC. Very handy if your computer platform suddenly gets changed.
I have had success using FMP to organize my digital MP3 and text files (SmartMusic files) for parent conferences. Boy does that help keep the conference moving...click a button and you've found your materials.
